Putnam County Deed Records and Their Document Types
Putnam County's Clerk publishes four fee charts, and together they map the whole land-record collection. Deeds are only one line of many. The charts also list deeds of trust, fixture filings, liens, leases, living trusts, powers of attorney, releases, right-of-way documents, lis pendens, substitute trustee appointments, and plats. Read that list as the county's published recording vocabulary. It is not a promise about portal filters.
| Deed Type | What It Does | Common Use |
|---|---|---|
| Deed with consideration | Conveys land and records stated consideration details | Sale or other transfer with consideration |
| Deed without consideration | Records a transfer where consideration is not stated in that category | Family, trust, or other transfer; read the instrument |
| Deed of trust | Records a secured loan interest against real estate | Financing; later release or trustee action may follow |
| Trustee report of sale | Records the trustee’s sale report | Review with the related deed and court trail |
| Plat map | Shows recorded lot and tract layout | Subdivision and parcel-description research |
A deed records a conveyance. A deed of trust, mechanic's lien, statutory lien, or lis pendens records a different interest or a legal notice. Releases and satisfactions come later. Match each one to the document it closes out. Reading only the newest deed can leave you blind to an easement, a security interest, or a court notice that still binds the property.
Putnam County Deed Records Search Starts in RECORDhub
Putnam County moved from the old West Virginia County Clerk Portal to Cott Systems RECORDhub. The transition notice spells that out. Guests get the index only. Images and downloads sit behind a separate tier, and older pricing language is not a current Putnam fee quote. The gateway does not publish Putnam's search fields, image cutover, or earliest online year. Use the RECORDhub gateway first. Images can lag. The Clerk's record room is the fallback. Keep the exact name, parcel description, document type, and approximate date range so a clerk can find the paper index or the image.
This is the RECORDhub gateway, not a deed result.
Putnam County Deed Records: Index Fields and Coverage Need Confirmation
The public gateway publishes no live Putnam search form. Exact field labels, result caps, date coverage, image charges, and the first online year all need confirmation from the County Clerk. Never copy fields from another county's setup. The Clerk can explain how to search a grantor, grantee, document type, subdivision name, or book and page in the current system.
Start your first pass with hard facts. Pull the exact owner name, parcel ID, deed book and page, and legal description from the assessment roll. Then search the index under both names. The grantee acquired; the grantor conveyed. If a spelling or entity form changed, use the wording on the instrument and ask whether the paper index carries another entry.
Putnam County Deed Records: Walk the Grantor-Grantee Index Backward
The grantor gives; the grantee gets. To trace an earlier owner, start with the latest grantee and open that deed. Its grantor becomes your next search. Match the legal description at each step, because one person may own several tracts and a trust or estate can add a name change. Putnam publishes no exact online cutoff. So do not count on a first searchable year.
- Find the newest deed with the current owner as grantee and note its date and book/page.
- Read the grantor name and legal description from that instrument.
- Search that grantor as a grantee to locate the prior acquisition for the same land.
- Repeat until the online index no longer reaches the needed period, then ask for the paper index or deed book.
- Grantor
- The party named as conveying the interest.
- Grantee
- The party receiving the interest in the deed.
- Chain of title
- The ordered sequence of recorded transfers tied to one tract.
- Book/Page
- A reference to the volume and page where a Clerk record is filed.
Putnam County Deed Records Can Use E-Recording
The County Clerk accepts land documents through registered CSC eRecording Solutions and Simplifile facilitators. Electronic filing can shorten the gap between submission and public indexing. West Virginia permits it rather than requiring it. Paper filings still move through a separate workflow. When a recent closing is absent from RECORDhub, ask the Clerk whether the document arrived and whether indexing is complete.
A search with no hit proves nothing. It does not mean the deed does not exist. Try alternate spellings, compare the parcel and legal description, and request a narrow search if the timing stays uncertain.
Putnam County Deed Records: Copy and Plat Fees
The County Clerk's published schedule sets ordinary copies at $1.50 for the first two pages, then $1 for each added page. Certification adds $1. A plat map copy costs $5. On top of that, the fee material describes a deed consideration charge of $2.20 per $500, rounded up, plus page, preservation, and housing components. Schedules change. Confirm the current numbers before paying.
When you order, give the Clerk the parties, document type, approximate recording date, book and page or instrument number, and any legal description you have. Ask for an ordinary or certified copy explicitly, and remember that a Clerk copy cost is separate from any portal image or subscription charge.
Putnam County Deed Records Extend Beyond Transfers
The Clerk's chart reaches far past ownership deeds. Deeds of trust and fixture filings appear there. So do statutory liens, judgments, lis pendens, leases, right-of-way papers, living trusts, releases, substitute trustee papers, and trustee reports of sale. When a document type points to court activity, search WVPASS for the related case. Tax delinquency leads elsewhere. The Sheriff and the State Auditor handle that search. Match any release or satisfaction to its original filing rather than assuming one exists because a loan was paid or a case closed. The county Clerk page also links to Cott Online Property Check for alert signup, so confirm the current options with the Clerk before relying on a notification service.
Putnam County Deed Records Have Several Recording Fee Parts
Recording fees in Putnam County come in several parts. The Clerk's chart sets a consideration component of $2.20 per $500, rounded up. Page counts add their own charge. A preservation or housing component applies as well. The total due depends on both the transaction and the number of pages. Deeds with and without consideration use different rows. Never estimate from the purchase price alone. Ask the Clerk to confirm the current schedule for your exact document and any copies or certification you want. Electronic recording runs through CSC eRecording and Simplifile, but it is not mandatory. A submitter may use an approved provider or follow the Clerk's accepted paper process. The route affects delivery only. It does not change what the recorded instrument means, so keep the returned document number and recording date for the next parcel, tax, or title search.
Putnam County Deed Records Copies and Public Record Requests
Missing the online image is not the end. Send the County Clerk a focused request. Include the grantor and grantee names, the document type, the approximate year, and the deed book and page plus the legal description when known. Plain copies run $1.50 for the first two pages and $1 for each added page. Certification adds $1. A plat copy costs $5. Confirm the charges before ordering, since the online gateway may apply separate access fees and the posted chart can change.
Records not otherwise available fall under West Virginia FOIA, codified in W. Va. Code chapter 29B. A public body must respond as soon as practicable and no later than five days. Weekends and legal holidays do not count. The body may charge actual reproduction cost. It cannot charge for search or retrieval. Give enough detail to identify the record. Ask for a reply if the volume, format, or retention period needs clarification.
Putnam filing categories cover deeds with or without consideration, deeds of trust, fixture filings, liens, releases, plats, living trusts, lis pendens, substitute-trustee documents, and trustee reports of sale. Pick the type that matches your event. A release clears a recorded lien. A deed of trust secures a debt and is not the ownership deed. A search result's label helps identify the file, but read the recorded instrument before drawing any title conclusion.
Request Putnam County Deed Records
Start with the current index. Record the parties and the recording reference. Then check whether the portal shows the document image. If not, contact the Putnam County Clerk for an ordinary or certified copy. For older volumes, ask which grantor-grantee index or deed book covers the period, since the online cutoff is not posted. Use the county's fee page for the amount due. An address-to-parcel route starts with the Putnam County property search. To trace prior grantees and ownership backward, the former owners guide covers the chain method.
Recorded, not guaranteed. The Putnam County index shows filed documents, not a complete title opinion. A title professional must review the chain and other interests before giving a conclusion about clear ownership.
